Summary:
The Office Administrator is responsible for performing administrative duties to support the yard, maintaining accurate record keeping in accordance with SMM Policies and Procedures. Liaises with internal and external units to carry out tasks as directed by the Operations staff while maintaining SMM and regulatory compliance.
Responsibilities:
- Input yard sales prices into SAI as directed by the division team while following SMM internal audit policies.
- Review daily sales tickets for errors prior to the tickets being processed.
- Gain experience in operating the truck scale and cashier functions to provide back up when necessary.
- Answer incoming calls, taking detailed notes, and work with dispatch on scheduling pick up from suppliers.
- Input manual tickets, void, reverse and adjust purchase/sales tickets.
- Assist with aging and issue payments per commercial requests/procedures.
- Corresponds with Administrative, Operations, Commercial, Transportation, suppliers, vendors, and contractors.
- Maintain computer and manual filing systems.
- Support EHS Team with record keeping, maintaining safety supplies, and operations training.
- Provide clerical support for management and employees.
- Support Corporate and Legal team in record keeping at yard.
- Prepare and receive purchase orders.
- Assist with Inventory management.
- Serve as backup for scale operator as needed.
- Prepare and present reports.
- Adhere to all SMM policies and procedures.
- Other duties as assigned.
Qualifications:
- Exceptional customer service.
- Proficient in Excel, Word, and Outlook.
- Strong verbal skills on phone and ability to take detailed notes.
- Demonstrate initiative with strong organization skills towards task completion.
- Working knowledge of SAI, Scale, or Cashier functions strongly preferred.
- Prior exposure to our operations a plus.
- Prior exposure to industrial atmosphere strongly preferred.
