Purpose of Role

Provide administrative support to commercial team.  The ideal individual will have strong “think on your feet” characteristics, excellent communication and organizational skills, exercise good judgment with tact and diplomacy and have the ability to maintain balance among multiple priorities.

 

Principal Accountabilities

 

Administrative Support

  • Receptionist duties including greeting and announcing visitors
  • Provide administrative support to staff and visitors, including MS Word, Excel and PowerPoint presentations
  • Perform daily office duties including processing / distribution of mail, shipping packages
  • Set up appointments and meetings plus assist staff on an ad hoc basis
  • Schedule, monitor and prepare conference rooms for meetings
  • Schedule and plan internal / external events (holiday parties, conferences, cater breakfasts / lunches)
  • Coordinate flights, accommodations, car transport and anticipate the needs of the team while traveling to ensure travel is smooth
  • Expense report preparation using Concur expense report system and processing of expenses in a timely manner
  • Communicate with purchasing department and external vendors to determine status of purchase orders and resolve outstanding issues
  • Ensure invoices are approved and paid on-time
  • Ad hoc assignments as required

 

Office

  • Maintain office supplies
  • Maintain cleanliness of break room including loading/unloading and running dishwasher
  • Coordinate with IT department on all office equipment needs
  • Oversee maintenance and service contracts of office equipment
  • Create and implement office procedures with EHS i.e., fire safety/covid protocols, general office safety. Hold quarterly office meetings to discuss safety and general office rules and procedures
  • Liaise with management company and independent contractors to make sure tasks are completed in office i.e. HVAC maintenance, construction, cleaning, gym membership, general office maintenance (recycling, outdoor space)
  • Circulate all communication to office employees from office management company
  • Ad hoc assignments as required

  • Maintaining invoice processing timeframes
  • Ongoing equipment well-being

 

Experience Required

  • Minimum of 3 years’ experience supporting an office environment
  • Intermediate Word, Excel and PowerPoint, and expense report software
  • Experience with booking international and domestic business travel
  • Experience with event planning
  • Understanding of expense reimbursement programs (Concur)
  • Hands on experience with office machines (printers, Conference TV, conference pod equipment, security system)

 

Formal Education

  • Bachelor’s degree preferred, but not required

 

Skills and Competencies

  • Technically savvy including understanding of office equipment such as conference room equipment
  • Demeanor - ability to work quietly, think quickly, respond rationally and maintain a level head.
  • Discretion – this position is privy to highly confidential information.  Utmost discretion is required at all times.
  • Time management – ability to prioritize the importance of tasks and responsibilities to efficiently meet all needs in a timely manner.
  • Gatekeeper – filter drop-ins and determine the level of importance and handle accordingly.
  • Office communication – team-work and ability to work with many different levels to work towards common goals. 
  • Global travel coordination experience
  • Strong written and verbal communication skills - essential
  • Must be able to work under pressure, at times, to handle a wide variety of activities and confidential matters with utmost discretion 
  • A team player with a friendly spirit and positive outlook
