We are seeking a highly motivated Senior Logistics Administrator for our operations in Guadalajara. The Senior Logistics Administrator manages logistics scheduling for Field Services accounts and subcontractors.
Key Responsibilities
- May lead projects with manageable risks
- Manage and approve client freight costs, as applicable.
- Maintain order management software with updates on pending logistics services and subcontractor orders.
- Collaborate with the client success team to ensure client satisfaction.
- Expert in the flow of orders across multiple ERP systems.
- Addresses “bottlenecks” in the order flow.
- Resolves escalations from the client success team and subcontractors.
- Expert in interpreting Statements of Work (SOW) or Statements of Acceptance (SA).
- Interact with clients to ensure the proper receipt, processing, reporting, and invoicing of client materials and resolve related complaints.
- Communicate customers’ timelines, special needs, instructions, and requirements to Operations teams.
- Manage and approve client freight costs and coordinate logistics (I.e., schedule pickups, transfers, etc.) as required by the client, providing quotes, pickup forms, and placards.
- Create and modify orders in the Company’s order management system.
- Communicate information to internal and external clients in a timely and professional manner (E.g., provide order status, send Acknowledgments of Receipt and Audit Reports, update necessary spreadsheets, etc.).
- Monitor and troubleshoot logistics and subcontractor load processing, verifying pertinent information.
- Maintain and execute recycling portal entries, order maintenance, and batching processes.
- Research and resolve problems by collaborating with various departments to ensure that client assets are received, processed, reconciled, and settled within deadlines.
- Collaborate with Account Administrators, Accounting, and Operations personnel to provide support on questions related to orders received from various locations.
- Other duties as assigned.
Qualifications
- Associate’s degree; advanced diploma; Level 4 award, certificate, or diploma; or an equivalent combination of education and experience.
- Bachelor’s degree, Level 6 award, certificate, or diploma, or an equivalent combination of education and experience is preferred.
- Proven experience in customer service or administrative roles.
- Prior experience with logistics carriers is a plus.
- Strong computer and systems experience and skills, including proficiency with Microsoft Office.
- Ability to communicate professionally at all organizational levels, both verbally and in writing.
- Strong phone and e-mail communication skills.
- Ability to analyze, define problems, solve issues, and remain organized while multitasking.
- Ability to multitask, meet deadlines, and establish appropriate priorities.
- Ability to withstand pressure on an ongoing basis. Deals with difficult situations while maintaining performance.
- Candidate must live within the Guadalajara, Jalisco area or be willing to relocate.
