Administrative Assistant

 

Your Role

This is a hybrid role responsible for providing end-to-end coordination across project delivery, operations support, administration, and finance activities. The position ensures that operational and project workflows are executed efficiently, while maintaining accurate financial records and supporting cost control initiatives.
The role plays a critical part in enabling a small operating unit to run smoothly by bridging operations, projects, and finance functions.

 

Key Responsibilities
1. Project & Operations Coordination
•    Coordinate day-to-day site activities and support delivery of projects and outside jobs 
•    Track project timelines, milestones, and deliverables to ensure timely completion 
•    Assist in planning and scheduling of labour, plant, and equipment 
•    Monitor operational progress and escalate risks, delays, or issues 
•    Support operational teams during peak periods or critical activities 

 

2. Administrative Support
•    Provide comprehensive administrative support to operations and project teams 
•    Maintain accurate documentation, records, and reporting systems 
•    Prepare reports, presentations, and operational updates 
•    Manage data entry and document control processes 

 

3. Finance & Cost Administration
•    Raise and manage purchase orders, invoices, and goods receipting 
•    Support cost tracking for projects and operational activities 
•    Assist in budget monitoring, cost allocation, and variance tracking 
•    Reconcile invoices and liaise with Finance on discrepancies 
•    Maintain accurate financial records and support month-end processes 
•    Track cost per tonne and support reporting on operational performance 

 

4. Logistics & Vendor Coordination
•    Coordinate transport, deliveries, and job schedules in collaboration with Transport 
•    Liaise with vendors and contractors to support operational requirements 
•    Ensure timely processing of vendor invoices and documentation 

 

5. Stakeholder Engagement
•    Act as a coordination point between Operations, Transport, Trading, and Finance 
•    Communicate effectively with internal stakeholders and external vendors 
•    Provide timely updates on project, operational, and financial status 

 

6. Safety, Compliance & Systems
•    Support adherence to SHECS policies and procedures 
•    Ensure compliance with company policies, procedures, and regulatory requirements 

 

7. Continuous Improvement
•    Identify opportunities to improve operational, administrative, and financial processes 
•    Support initiatives to enhance efficiency, cost control, and reporting accuracy 

 


Skills 

•    Strong coordination and organisational skills across multiple functions 
•    Sound financial acumen with experience in cost tracking and basic accounting processes 
•    High attention to detail and accuracy 
•    Effective communication and stakeholder management skills 
•    Ability to manage competing priorities in a fast-paced environment 
•    Proficiency in Microsoft Office and finance/ERP systems 

 

Experience


•    Experience in administration, operations support, project coordination, or similar roles 
•    Exposure to finance processes (e.g. invoicing, purchase orders, reconciliations) 
•    Experience in industrial, logistics, manufacturing, or site-based environments is advantageous
